Digital Orthoimagery Aerial Photography Database Update Services

SEALED BIDS, clearly marked as to contents, will be received by the City Clerk, no later than 2:00 p.m. local time, on the Closing Date.
The intent of this Bid call is to invite and receive bids to furnish all labour, materials, services, transportation and incidentals to perform the following work:
The municipalities within Halton Region periodically update their ortho-rectified aerial photography and elevation data sets.
The City of Burlington, on behalf of these agencies, members of the Halton Co-Operative Purchasing Group, (HCPG), is leading this co-op bid call.
The award will be to one service provider for all agencies’ requirements. Each agency will issue their own purchase order for their respective requirements. The municipalities (“Participating Agencies”) participating in this Bid call are:
- City of Burlington
- Region of Halton
- Town of Oakville
- Town of Milton
- Town of Halton Hills
The contract will be for a two year term, 2017-2018 (see chart below with dates) and in addition there will be the option to extend the contract for two more two-year terms at the discretion of the Participating Agencies and subject to mutually negotiated terms with the successful Bidder. Each contract term allows for additional provisional items to be purchased by Participating Agencies, as required.
Term 1: January 2017 – December 2018.
Optional Term 2: January 2019 – December 2020
Optional Term 3: January 2021 – December 2022
In order to be successful the Bidder must meet all of the following mandatory requirements:
- Minimum 5 approved flight plans a year at (Toronto) Pearson International Airport, for undertaking aerial photography related work
- Minimum 10 years experience of successfully undertaking aerial photography for municipal requirements within North America
- Have required licences and permits to undertake the work
- Demonstrated knowledge of the challenges/restriction of flying in the Halton Region airspace

METHODS OF PAYMENT:
Payment by credit card is required for documents available electronically. If picking up the document in person, the City will accept cash, cheque, Interac, MasterCard, Visa and American Express. Cheques are to be made payable to The Corporation of the City of Burlington. Documents will not be released until payment is received. The City of Burlington is not responsible for delivery delays via courier or mail.

All questions relating to this RFT or any clarification with respect to this bid should be made in writing no later than 6 calendar days prior to closing date.
